Our approach to finding and negotiating office spaces is based on three key principles:
- We believe that customers operate in a world of wants and not needs. This applies beyond the physical office space itself;
- That each customer has a higher objective – We don’t just decide we want a new office – The decision is based on a higher objective. To fully understand this, we build an empathic connection with the customer;
- That the customer experience is both effortless and stress free.
We continually look at ways to enhance the customer experience that spans every interaction a customer has with our business at every touchpoint of our offering.
We find two types of offices and generally customers are specific about which type of office they want:
1/ Leased Offices
You will likely be familiar with this type of office whereby you would sign a lease on your own self contained office space with a landlord. This could be your own single floor, part of a larger floor or your own office building.

2/ Serviced and Co-Working Offices
Typically you would occupy an office based upon the number of work stations (desks) that you require.
Your own office in most cases will likely form part of a larger office floor with other companies where you would share the facilities such as kitchen and break out areas. However, in some cases where the floor sizes of the building are relatively small, you can retain your own identity by taking your own floor.
Co-working promotes working in an open plan collaborative environment as opposed to having an individual office for your employees.
Leased Offices
Typically leased offices come unfurnished so there would be an additional cost for you to design and fit out your offices. Fitted offices, although less common can be found by taking over another companies lease known as a sublease or an assignment.
Lease lengths are generally from 2-10 years.
You would be responsible for paying rent, business rates and service charges and possibly utility costs dependent upon whether they were included in the service charge. Costs are paid each quarter in advance.
Other costs that you should be aware of are your IT infrastructure requirements, Legal fees, Stamp Duty Land Tax and Agent fees. Rental deposits should they be required by the landlord generally range from 3-6 months rent plus VAT. The VAT on a rent deposit unfortunately isn’t recoverable until drawdown by the landlord. Until drawdown, the initial payment sum is not a tax point and VAT is not recoverable which effectively inflates the deposit by 20%. There are ways to mitigate the level of deposits if required by the landlord.
If the building is elected for VAT then this would be added to the rent and service charge and recoverable. We provide a comprehensive checklist of all your associated costs.
Serviced Offices and Co-Working Offices
Licence agreements are from one month to twelve months typically with one month notice periods.
Your office would come fully furnished to include desks, furniture, telephone handsets and any IT requirements you may have.
You would pay an all inclusive amount per month based upon the number of work stations. This will cover your property costs such as rent and internet services and telephone calls. Other potential costs would include hiring out meeting rooms on an hourly basis and photo copying should you use these additional services. These would all be itemised on your monthly invoice. You will also be asked to provide a two month rental deposit and a one off set up fee per person.
You will also benefit from the shared use of facilities such as break out areas and kitchens.
We advise our customers not to commit to a lease/license for longer than they have been in business.
Serviced offices or co-working spaces is a free service to you. Should we find you this type of office, there is no cost.
Leased offices, we charge one of two ways:
1/ A fixed fee – This provides transparency and removes any uncertainty you may have as the agreed fee between us is effectively capped. This also gives you more control over your spend.
2/ An incentive based fee – This aligns our interests and we are paid on the shareholder value we create for you on the lease transaction.
Our fees are paid upon exchange of lease contracts – There are no upfront costs to you.
We do not charge a percentage of the first years rent such as 10% as this fee structure is not to your advantage and is counter intuitive. So for example, the higher your rent, the higher our fee would be which creates a direct conflict with your interests. This incidentally is how landlord agents get paid as their job is to negotiate the highest rent for the landlord.
Not at all. We work with customers typically on a one to one basis but we do not lock customers into long term contracts. From our experience, we have found customers appreciate experiences that are flexible, accommodating and therefore a feeling that they are in control. This is fundamentally important to how we approach looking for office spaces with each individual customer.
We are also confident in our own abilities to identify and negotiate the type of office space that you want.
For leased options, we recommend a minimum of three months.
For serviced or co-working spaces, the process is much quicker – Typically two to four weeks.
